You may book your event as far in advance as you wish, subject to availability, with a required deposit. Event dates and times are not guaranteed until the deposit has been made. To secure your booking, please use the online booking system provided on our website. Event times and dates are allocated on a first-come, first-served basis once the deposit is received.
A $100 deposit is required at the time of booking to secure your event. The remaining balance is due upon arrival on the day of the event. We accept all major credit cards, CashApp, and Zelle for payment. Failure to provide the full balance 2 days before the event may result in the cancellation of services without refund of the deposit.
Should you need to cancel your reservation, please notify us at least 2 days prior to your event to receive a refund minus a $50 cancellation fee. Cancellations made within 2 days of the event will result in the forfeiture of the deposit. In the event of unforeseen circumstances, we will make every effort to reschedule your event to the next available date at no additional cost, provided the cancellation was due to valid reasons such as emergencies or inclement weather.
Our mobile gaming trailer is equipped with climate control (heating and air-conditioning) to ensure comfort in any weather conditions. However, in the event of severe weather such as strong winds, snow, ice, or other hazardous conditions that prevent safe travel or operation, we reserve the right to reschedule your event. We will work with you to find the next available date.
Let's Play Video Games reserves the right to refuse service or terminate an event early if we observe behavior deemed unsafe or threatening to our staff, guests, or equipment. This includes, but is not limited to, intoxication, illegal drug use, aggressive behavior, or unsafe surroundings. In such cases, no refund will be provided.
Let's Play Video Games and its employees will not be held responsible for any damage to your property caused by positioning the gaming trailer as per your request. This includes both above-ground and below-ground property or equipment. Additionally, any damage or theft of equipment inside the trailer, such as gaming consoles, controllers, or televisions, caused by you or your guests, will result in charges based on the current retail price of the damaged items. These charges will be applied to the credit or debit card used for the booking.
By booking an event with Let's Play Video Games, you acknowledge that participation in video gaming and associated activities may involve inherent risks, including but not limited to the risk of injury or damage to persons or property. You hereby voluntarily release and hold harmless Let's Play Video Games, its owners, employees, and agents from any and all liability, claims, or demands of any nature, including but not limited to personal injury, property damage, or loss that may arise from or relate to your participation in the event, whether caused by negligence or otherwise. You agree to assume full responsibility for any risks of injury or damage that may occur as a result of the activities provided during the event.
For the safety of our equipment and guests, food, drinks, candy, gum, and smoking are strictly prohibited inside the gaming trailer. Violating this policy may result in additional cleaning fees or damage charges.
Our mobile game trailer requires safe and legal parking at the event location. The client is responsible for securing adequate parking space either on the street or in a driveway with sufficient room for the trailer. If safe parking is unavailable upon arrival, the event may need to be relocated, or additional fees may apply.
Let's Play Video Games is committed to safeguarding your privacy. We collect only the necessary information to book your event and enhance your overall experience. Your personal information will never be sold, traded, or rented to third parties.
During your event, our Game Coach may take photographs of the party inside or outside the trailer. These photos may be used for promotional purposes on our social media platforms, including Facebook and Instagram. If you do not wish to have photographs taken, please notify us via email before the event.
At Let's Play Video Games, we provide a wide selection of video games that cater to various age groups and preferences. However, we are not responsible for the specific games that players choose to play during the event. It is the responsibility of the event host or parents to inform the Game Coach of any restrictions regarding age-appropriate content or game ratings.
Travel fees may apply for events located outside our 30-mile service radius from our home location. Please check our website or contact us directly to confirm whether additional travel fees apply.
By making a deposit or full payment for your event, you agree to abide by all the policies and terms listed above, including the Release of Liability. Failure to comply may result in the cancellation of your event or additional charges.
